a. Information Provided by You
We collect personal information that you voluntarily provide when you register on the Services, create an employer account, submit a candidate profile, complete an AI interview, or contact us. The personal information we collect may include:

Job titles and employment history
Resumes, CVs, and cover letters
Education history and qualifications
Interview responses (audio, video, and text transcripts)

b. Candidate Interview Data
When candidates complete an AI interview through ourteam, we collect interview responses including audio recordings, video recordings, and text transcripts. These responses are processed by our AI systems to generate structured evaluation scores based on criteria defined by the hiring organisation. Candidates are informed before starting any AI interview that their responses will be recorded and evaluated.
c. Information Collected Automatically
When you visit or use our Services, we automatically collect certain technical information, including:
IP address and approximate location
Browser type and version
Device type, operating system, and device identifiers
Pages viewed, time spent, and navigation patterns
Referring URLs and search terms

d. Information from Third Parties
We may receive information about candidates from hiring organisations that use our platform, including resumes, job descriptions, and role requirements submitted for screening purposes. We may also receive information through integrations with applicant tracking systems (ATS) authorised by hiring organisations.
e. Information Collected from Minors
We do not knowingly collect data from or market to individuals under 18 years of age. If we learn that personal information from users under 18 has been collected, we will take reasonable measures to promptly delete such data. 2. How We Use Your Information
We process your personal information for the following purposes:
Service Delivery. To provide, operate, and maintain our AI screening and interviewing platform, including conducting AI interviews, generating candidate evaluations, and delivering screening results to hiring organisations.
Account Management. To facilitate account creation, authentication, and administration for both employer and candidate accounts.
Communication. To respond to inquiries, provide customer support, send service-related notices, and deliver updates about our platform.
Platform Improvement. To analyse usage patterns, diagnose technical issues, and improve the performance, accuracy, and fairness of our AI evaluation models. When data is used for AI model improvement, it is anonymised and aggregated so that individual candidates cannot be identified.
Security and Fraud Prevention. To detect, prevent, and address technical issues, security incidents, and fraudulent or illegal activity.
Marketing. To send promotional communications about our products and services, where permitted by applicable law and in accordance with your preferences. You can opt out of marketing communications at any time.
Legal Compliance. To comply with applicable laws, regulations, legal processes, or enforceable governmental requests.
Bias Monitoring and Fairness Auditing. To conduct regular bias audits and adverse impact analyses on our AI evaluation systems, ensuring our screening and interview processes remain fair and non-discriminatory across protected classes.
3. How We Share Your Information
With Hiring Organisations. When candidates complete an AI interview or screening through ourteam, their interview responses, evaluation scores, and structured assessment data are shared with the hiring organisation that initiated the screening. Hiring organisations only receive data for candidates who have applied for roles within their organisation.
With Service Providers. We share information with third-party service providers who assist us in operating our platform, including cloud hosting providers, payment processors, analytics services, and communication tools. All service providers are contractually bound to protect your information and use it only for the purposes we specify.
With AI Processing Partners. Candidate interview data may be processed using third-party AI APIs for transcription, natural language processing, and evaluation purposes. These partners process data solely on our behalf and are subject to strict data processing agreements.
Business Transfers. We may share or transfer your information in connection with any merger, acquisition, sale of assets, financing, or transition of all or part of our business to another company.
Legal Requirements. We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of ourteam, our users, or the public.
With Your Consent. We may share your information for other purposes with your explicit consent.
We have not sold personal information to third parties for commercial purposes.
4. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to collect information about how you interact with our Services. These include essential cookies required for platform functionality, analytics cookies to understand usage patterns, and preference cookies to remember your settings.

We do not currently respond to Do-Not-Track browser signals. If a uniform standard for Do-Not-Track is adopted, we will update this policy accordingly.
5. Data Retention
Candidate Data. We retain candidate interview data and evaluation results for as long as necessary to provide our Services to the hiring organisation, or for up to twenty-four (24) months from the date of collection, whichever is shorter, unless a longer retention period is required by law or requested by the hiring organisation in accordance with applicable regulations.
Employer Data. We retain employer account information for the duration of the business relationship and for up to twelve (12) months after account termination, unless a longer retention period is required for legal or compliance purposes.
Anonymised Data. Anonymised and aggregated data that cannot be used to identify individuals may be retained indefinitely for analytics, research, and AI model improvement purposes.
When we no longer have a legitimate business need to process your personal information, we will either delete or anonymise it. If deletion is not immediately possible (for example, because data is stored in backup archives), we will securely store and isolate the information until deletion is feasible.
6. Data Security
We implement appropriate technical and organisational security measures to protect your personal information, including encryption in transit and at rest, access controls, regular security assessments, and secure data storage infrastructure.
However, no method of electronic transmission or storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.

ourteam operates across multiple countries, including Singapore, Malaysia, Indonesia, the Philippines, Thailand, Vietnam, the United States, and Australia. Your personal information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws.

9. AI-Specific Disclosures
Automated Decision-Making. ourteam uses artificial intelligence to conduct candidate interviews and generate structured evaluation scores. These AI-generated scores are designed to assist hiring organisations in their decision-making process. AI evaluations do not autonomously make hiring decisions. Final hiring decisions are made by human recruiters and hiring managers within the hiring organisation.
Fairness and Bias. We conduct regular bias audits on our AI systems to monitor for adverse impact across protected classes including gender, ethnicity, age, and disability status. Our evaluation criteria are based on job-relevant competencies defined by the hiring organisation.
Transparency. Candidates are informed before starting any AI interview that their responses will be recorded, transcribed, and evaluated by AI systems. Candidates may request a summary of how their responses were evaluated by contacting hello@ourteam.ai.
Human Review. Hiring organisations using ourteam retain full control over hiring decisions. AI-generated evaluations serve as structured input to support — not replace — human judgment.

Our Services may contain links to third-party websites or services that are not operated by us. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third-party services you visit.
